Newsletter – Mail Chimp

The newsletters will be sent by MailChimp, a mail-order service provider of Rocket Science Group, LLC, 675 Ponce De Leon Ave # 5000, Atlanta, GA 30308, USA. The Rocket Science Group LLC is certified under the Privacy Shield Agreement, which provides a guarantee to comply with European data protection standards (https://www.privacyshield.gov/participant?id=a2zt0000000TO6hAAG&status=Active). In addition to your e-mail address, we may also record your first and last name, if provided by you via subscription forms.

The service provider may use the data of the recipients in pseudonymous form, i. without assignment to a user, to optimize or improve their own services, e.g. for the technical optimization of the platform and the presentation of newsletters or for statistical purposes. However, the service provider does not use the data of our newsletter recipients to address them themselves or to pass the data on to third parties.

Webinars and Online Meetings

By completing and submitting the registration forms for webinars or our online meetings, you agree that we use the data you have entered for the further processing of your registration and marketing purposes. This data is stored locally on the server of the relevant seminar provider such as Zoom or Microsoft Teams and transmitted encrypted.
Zoom and Microsoft Teams stores basic information under user account profile information this includes; email address, user password, name and if provided; Company name, Company phone number, Profile picture.


If the meeting is recorded audio and video footage will be held locally or in the cloud. Substance Over Form Ltd will be responsible for ensuring that this information is deleted within the appropriate timeframe and kept secure.

Please ensure you are aware that everything in the background could be recorded. You can, on both Microsoft Teams and Zoom, put up a background to stop any additional pictures of your surroundings being recorded.  You can also turn off your camera and anonymise your name through the software, should you wish to. 

You are under no statutory obligation to agree to attend training/briefing/events that are being recorded and therefore can withdraw your consent and not attend or withdraw from the meeting.

Any information that is stored or saved within Zoom is the responsibility of the meeting host and this will be handled in line with the Data Protection Act 2018 and the GDPR.

We use small text files so-called cookies to extend the functionality of our website and keep our website reliable and secure. The collected data is stored together with the user ID generated randomly, which enables the evaluation of pseudonymous user profiles. These user-related data are automatically deleted after 14 months. Other data are stored in aggregated form for an unlimited period.

Flamingo

This plugin stores submission data collected through contact forms, which may include the submitters’ personal information, in the database on the server that hosts the website. Contact Form 7

We use the Contact Form 7 plugin to manage contact form submissions. The information is sent as email messages that only a select few are allowed to access. The information is also stored in the database on our hosting server for backup and later reference purposes (see previous point). We use the Flamingo plugin to safely manage this data.

We only use WordPress plugins and themes that are hosted by WordPress.org. WordPress.org’s guidelines clearly prohibit tracking users without their explicit informed consent.
